The ten steps
- Pick the date, course and formats. Check the course calendar and book a date with a rain plan. Decide whether flights play the same format or different ones.
- Set the budget and the fee. Use the calculator below: per-player costs, fixed costs and the fee that covers them.
- Open sign-ups. Say what the fee covers, the cutoff date and the refund policy. Keep a short waitlist.
- Build the roster. Import last year's roster or the sign-up list with names, handicaps and teams.
- Make flights and teams. Group by ability or by format. Check the handicaps before the day, not on the first tee.
- Choose contests and prizes. Closest to the pin, long drive and any others, with one prize each.
- Publish and share the code. Send the join code or QR, tee times and reminders to the whole field.
- Print the materials. Scorecards with strokes marked, tee sheets and pairing sheets.
- Run the day. Open scoring at check-in, watch the board and settle disputes in one place.
- Awards, settle up and thank-yous. Present the awards, share the recap and send the settle-up for any side games.

Frequently asked questions
How far ahead should I start planning?
Eight weeks is comfortable for a field of sixty. Smaller events can be planned in three or four. The course booking and the date are the pieces that take longest.
Does the planner store anything?
No. The checklist is printed on the page, the calculator runs in your browser and nothing is sent anywhere.
Is Hole19Tally a betting app?
